They may change where you spend money, but savings are not automatic. Compare the current arrangement with the full proposed cost: - User subscriptions, storage, and additional features. - Migration, setup, training, and integration work. - Internet connections and any fallback service. - Security, backup, monitoring, and support. - Data transfer, retention, and exit costs. Use the same scope and period for both options. Allow for overlapping costs while the old and new systems run together. ### Who handles cloud security? Microsoft describes cloud security as a shared responsibility. The division changes with the service model, while customers retain responsibility for their data and identities. Moving an application does not remove the need to manage accounts, permissions, and the settings your business controls. Write down who configures access, handles updates for each component, reviews alerts, and removes departing users. Separate the cloud vendor's work from your IT provider's agreed tasks. ### What happens during an outage or data loss? Check retention, backup coverage, and restore options for the selected product. A service being available is different from your deleted records being recoverable. Set recovery priorities and test a representative restore. Decide how staff will communicate and work if internet access or the cloud application is unavailable. ### How should the migration be planned? 1. Inventory applications, data, users, and dependencies. 2. Confirm ownership, access, licensing, and backup arrangements. 3. Test the important workflows with a small group. 4. Set a change window, communications plan, and rollback criteria. 5. Check the result with users and document unresolved problems. Some migrations need downtime. Record what is expected and who makes the decision to proceed or roll back. ### What should ongoing support include? Confirm support hours, covered systems, alert handling, and project exclusions.
